In order to support the growth of our Corporate & Fund Services department, we are currently looking for an Accounting & Administrative Assistant (m/f) for a one-year part-time contract, starting in January 2025.
ROLE AND RESPONSABILITIES
- Accurately input financial transactions into accounting software (e.g. BOB 50).
- Maintain organized and up-to-date financial records and files.
- Assist in processing invoices, verifying amounts, and managing payment schedules.
- Enter vendor invoices into the accounting system and help prepare them for payment by verifying account coding and obtaining approval from appropriate department heads.
- Reconcile vendor statements and resolve any discrepancies.
- Prepare and send out customer invoices and track payments.
- Assist in reconciling bank statements with internal records to ensure accuracy.
- Investigate and resolve any differences (e.g., quarterly reconciliations shares, stocks and cash).
- Assist with the preparation of quarterly, and annual financial reports as needed by gathering necessary data, running reports from accounting software, and ensuring that all numbers are accurate.
- Help manage the document archiving system to ensure older documents are securely stored but accessible when needed for audits or reviews;
PROFESSIONAL SKILLS AND EXPERIENCE
- Education: Bachelor’s degree in Accounting, Economics, Finance or equivalent.
- Experience: 1-2 years of experience in an accounting or administrative role.
- Profiency with accounting software (e.g. BOB 50) and Microsfot Excel.
- Basic understanding of accounting principles and procedures.
- Strong attention to detail and accuracy in data entry and reporting.
- Ability to identify and resolve discrepancies in financial data.
- Ability to manage multiple tasks, prioritize work, and meet deadlines in a fast-paced environment.
- Fluency in English, Spanish is an asset.
